Before opening: check the reception setup
Confirm that the reception computer, reader and local network are powered and connected. Sign in and allow the required data and permissions to synchronize while the internet is available.
Agree who can handle exceptions. Record a simple fallback procedure for unidentified members, stale membership details and reader failures.
During an interruption: know the limits
Supported local actions can use previously synchronized information and queue events. A payment or membership change made elsewhere may not be reflected until the reception device receives it.
Do not assume that a disconnected device knows about a recent cancellation, renewal or access change. Cloud reporting and account setup also need an online connection.
After reconnection: reconcile the day
Check that pending events finish synchronizing and review any differences between the local decision and the current membership record. Compare attendance and collections before closing the shift.
An offline acceptance test should include interruption, repeated scans, changed permissions and reconnection on the actual reception setup. A website demo cannot validate physical hardware or a gym’s network.
An internet outage is not a power backup
A local reception workflow still needs working equipment. If power fails, a computer, router, reader or gate may stop even when software has cached data. Decide which equipment needs backup power and have the actual installation checked by the responsible provider.
Do not treat the current occupancy count as an emergency headcount. Scan coverage, automatic checkout and missing events can affect the number. Use the gym’s established emergency procedure for people’s safety.
