Start with the work your gym needs to do
List who records admissions, collects fees, checks attendance and closes the shift. Separate essential workflows from features you may want later. A gym with one receptionist has different permission and reporting needs from an organization with several branches.
Use fictional records in sales demos. Prepare an active member, an expired but fully paid member, someone with an unpaid charge and a frozen membership. Ask each provider to show what the receptionist sees and what the manager can verify afterward. Record whether each scenario was demonstrated, needs configuration or is unavailable.
Compare total cost in PKR and the actual billing period
Ask for the amount payable now, the renewal amount and the period each payment covers. An annual plan advertised as a monthly equivalent may require the entire year upfront. Check whether prices apply per location, per active member or to the whole organization.
Include extra members, hardware, installation, migration, messaging, payment processing and applicable taxes in the written quote. Ask how active members are counted and when any additional charges are billed. A lower headline price is difficult to compare until these details are clear.
Gymatic publishes monthly, six-month and yearly options on its pricing page, with an included active-member allowance per gym. Hardware, payment processing and custom migration are quoted separately where required. The public demo needs no signup; the subscription trial requires advance payment under the published terms. These are separate ways to evaluate the product.
Test fee collection and expiry as separate scenarios
Create a fictional PKR 3,000 membership charge and record a PKR 1,000 payment. With no other adjustments, the remaining balance should be PKR 2,000 and the collection should be PKR 1,000. Ask where the payment method, reference and staff action appear. Then check how a mistaken payment is corrected without erasing the explanation.
Next, open an expired membership whose previous charges are fully paid. Staff should be able to distinguish a renewal offer from money already owed. Ask how a January 31 monthly start is handled in February and whether a late renewal starts today or follows the old expiry. The correct answer depends on your agreed membership policy, which should be visible before confirmation.
Confirm the exact attendance hardware before buying
“Biometric integration” is not a compatibility list. Give the provider the reader model, firmware, connection method and reception computer details. Confirm who installs and supports the connection, and whether matching happens on the reader or a connected computer.
Test an allowed entry, an unidentified credential, an expired membership and a repeated scan. Ask what happens if the application records a decision but the door does not open. Check-in software, credential recognition and physical gate behavior are related parts of an installation that need separate verification.
Gymatic uses its Bridge for supported reader integrations. Confirm the actual setup before purchasing equipment. A web demo can explain the reception screen, but it cannot prove that a particular fingerprint reader or turnstile works at your gym.
Separate payment recording from payment processing
A system may record cash, a bank transfer or a wallet reference without collecting or verifying the money automatically. Ask a provider to demonstrate which steps require staff confirmation and which are handled by an actual payment integration.
If JazzCash, EasyPaisa, card charging or automatic renewals are essential, confirm the supported integration, fees, settlement process and handling of a failed transaction. Do not infer support from a payment-method label or an invoice screenshot. Use the same distinction when comparing WhatsApp messages: a share link, staff message and automated notification are different capabilities.
Check what survives an internet interruption
Ask which functions use synchronized local data, which queue changes and which stop without the internet. Test a connection loss, a membership change made elsewhere, repeated actions and reconnection. Review the resulting attendance and payment records for duplicates or missing events.
An offline feature still needs its required equipment and power. Agree how staff handle stale permissions or an unidentified member. Gymatic’s offline operations guide explains the limits of configured local reception functions; it does not promise that every cloud action works while disconnected.
Verify staff permissions and branch boundaries
Sign in as a receptionist, manager and owner using test accounts. Confirm which records each role can view and which corrections require approval. Remove a test staff member’s access and check the result, including any disconnected device behavior the provider supports.
For more than one gym, test a member whose package allows only one location and another with approved cross-branch access. Check which branch receives the payment and where reporting appears. Confirm the subscription cost of the additional location before comparing multi-branch offers.
Agree on migration, export and support before the switch
Ask for a sample export and the supported migration format. Check whether members, service dates, transaction history, outstanding balances and attendance can be retained in a usable form. An exported member list alone is different from a complete transaction record.
Make a dated backup, reconcile opening balances and agree which system becomes authoritative at cutover. Obtain support hours, escalation steps, cancellation terms and data-retention details in writing. Do not assume that moving to software automatically corrects duplicate members or unexplained balances in the old register.
Use a shortlist scorecard and decide from evidence
For each provider, record the demonstrated outcome, any setup dependency, the total quoted cost and the person responsible for follow-up. Treat an unanswered question as unresolved rather than marking the feature present. Avoid choosing solely from a five-star badge or a long feature list.
